An 8-attorney personal injury firm in the Midwest was losing leads because their intake process was entirely manual. Someone fills out the website form, an assistant sees it whenever they happen to check email, they manually enter it into Clio Grow, then someone else follows up by phone, sometimes the same day, sometimes two days later. By then the lead already called the firm that responded in 10 minutes.
They were spending roughly 12 hours/week on manual data entry between their website, Clio Grow, and their internal tracking spreadsheet. Every lead touched three systems and at least two people before anyone actually talked to the potential client.
We built an end-to-end automation pipeline that eliminated every manual step between form submission and first contact. Website form submits → lead is created in Clio Grow → a personalized acknowledgment email sends within 60 seconds → the assigned intake attorney gets an email notification with the lead details → a follow-up call task is auto-created on their calendar for the same day.
We also built a secondary workflow that monitors Clio Grow for leads that haven't been contacted within 24 hours and escalates them. A second notification to a backup attorney is sent, plus an automated text to the lead saying someone will call shortly.
The whole system runs on Zapier with 6 connected integrations. No custom code needed on their end, no new software to learn.
